Job Description:

Join Job Duck as a Receptionist – Legal Operations Assistant and become the welcoming voice and face of a dynamic legal team. In this role, you’ll manage the front desk experience, ensuring every client interaction is professional, warm, and efficient. You’ll handle inbound and outbound calls, maintain organized documentation, and oversee the office calendar to keep operations running smoothly. This position is ideal for someone who thrives in a fast-paced environment, loves engaging with people, and takes initiative to improve processes while delivering exceptional customer service.

Salary Range: from $1,015 USD to $1,100 USD

Responsibilities include, but are not limited to:

  • Manage and oversee the office calendar, scheduling calls, meetings, and events

  • Review client files to address questions without escalating unnecessarily

  • Communicate effectively with internal teams via Microsoft Teams and Outlook

  • Utilize SmartAdvocate for case management and RingCentral for call handling

  • Coordinate with attorneys and paralegals to ensure smooth communication flow

  • Make outbound calls as needed (15–20 per day)

  • Organize and maintain documents for easy access

  • Serve as the first point of contact, filtering unnecessary communications

  • Answer all inbound calls for the firm and provide accurate information

Required Skills:

•Minimum of 1 year of experience in a client-facing role, such as receptionist, customer service, or sales.
•Advanced/native-level English skills (both written and spoken)
• Customer service orientation
• Detail-oriented and organized
• Ability to manage multiple tasks efficiently
• Proactive and solution-focused mindset
• Comfortable speaking up and suggesting improvements
• Tech-savvy with proficiency in Microsoft Suite

Work Shift:

8:30 AM - 5:30 PM [EST][EDT] (United States of America)
